After-Hours Office Cleaning Routes: Running an Evening Team Next to Your Daytime Homes
Homes get cleaned while people are at work. Offices get cleaned after people go home. Once you have more than one or two offices, that difference starts to shape your whole week. An evening route, kept separate from the daytime homes but in the same system, is how most maid services handle it without wearing out their best people.
Why Offices End Up on Their Own Route
Clinics are a good example of why: as Cleaning Dental and Medical Offices: Practical Notes for a Maid Service explains, most want the team there after the last patient leaves. Small offices are the same.
Squeezing one office onto the end of a daytime home route works for a while. The team finishes their last house at 4pm, waits around, and cleans the office at 6. Add a second and third office and that stops working. The daytime team is tired, the wait time is unpaid or wasted, and the office cleans get rushed. Grouping offices onto their own evening route fixes that.
Set Up an Evening Team
In MaidBossPro, each team is set up like a vehicle: “Team 1,” “Team 2,” and so on. Create a team for evenings, something like “Team 3 – Evenings,” and assign the people who work it. The dispatch board filters by team, so you can look at the evening route on its own without the daytime homes in the way.
Some companies have a dedicated evening crew. Others have a few people who work days some weeks and evenings others. Either way, the team is the route, and whoever is assigned to it sees those stops on their phone.
Build the Route in the Right Order
Office routes are usually short, three to five stops, but order matters more than it does for homes. Some offices cannot be entered until a certain time. Others need to be done before a cleaning-free window, like a clinic that opens at 7am. Start by putting the offices with fixed windows where they belong, then fill in the rest.
Auto-route can order the stops Closest First or Furthest First from your office, which is a good starting point. Then adjust by hand where a time window demands it. You can set the route order yourself on the dispatch board, and the team's phone shows the same order. Saved views let you pull up the evening board the same way each night, and route sheets print for anyone who wants a paper copy in the car.
Recurring Offices Keep a Fixed Slot
Weekly and every-two-weeks offices are recurring cleanings with a fixed slot: same night, same time, same team. Add Recurring Cleaning puts every visit for the next 3, 6 or 12 months straight onto the evening team's schedule, so a dental office cleaned every Friday at 6:00 PM shows up on that team's app each Friday with the time on the card. The next guide, Weekly Office Cleaning on a Fixed Slot: Keeping Every Account on Schedule, covers that part in detail.
What the Evening Team Needs on the Phone
An evening team works without anyone from the client in the building and often without anyone from your office answering the phone. Everything they need has to be on the job card. In the team app, each stop shows:
- The address with a navigation button.
- The cleaning type and size: “Office / Commercial · 3,000 sq ft.”
- Extras like interior windows or blinds, if they are on this visit.
- Entry & notes: which door, the code or key, alarm instructions, rooms to skip, products to use.
- Past notes from earlier visits.
The team taps Start when they arrive and Complete when they leave, takes before-and-after photos, and can tap Skip with a note if the building is locked or still occupied. The time clock in the same app records clock in and clock out, lunch and breaks.
Knowing the Evening Route Is Going Well
The office does not have to stay late to keep an eye on the evening route. Team GPS shows on the office map, and every Start, Complete and Skip appears on the board as it happens. Next morning, you can see which offices were done, which photos were taken and any notes the team left, such as “Break room fridge needs cleaning out, not in scope, told office manager.”
If the account is billed per visit, Complete creates the invoice and can charge the card on file. If the account is set to Monthly, the visit goes on the end-of-month statement instead.
Safety and Sensible Habits
Evening work has its own practical concerns. Keep the route tight so people are not driving all over town late at night. Note well-lit entrances and where to park. Make sure everyone knows to set the alarm and lock up before leaving, and put that reminder in the entry note so it shows every time. These are simple habits, but they are easier to keep when they are written on the card instead of passed along by word of mouth.
