Choosing Cleaning Billing Software: What to Check Before You Switch
Most billing software can make an invoice. That is not the hard part. The hard part for a cleaning company is making dozens or hundreds of small, repeating invoices correct without anyone typing them, getting paid without chasing anyone, and sending commercial clients the one bill a month they want. When you compare options, judge them on those things, not on how pretty the invoice template is.
Start With How You Actually Bill
If you are coming from paper or payment apps, Moving Cleaning Billing Off Paper and Payment Apps lays out the move itself. This guide is about choosing where to move to.
Before you look at any software, write down how billing works at your company today: how many recurring homes, how many one-time cleans, how many commercial accounts, how customers pay, and where things go wrong. That list is your test. Any tool you consider should make each item on it easier.
Check One: Does the Invoice Come From the Job?
The most important question. Generic invoicing tools and many generic field-service apps keep the invoice separate from the work, so someone has to build each invoice by hand or copy details over. For a cleaning company, that is where extras get lost and prices drift.
Look for software where the job carries the cleaning details (cleaning type, bedrooms, bathrooms, square feet, pets, extras, entry notes) and the invoice is created from that job when the team marks it done. Ask: if my team does the inside of the oven, does it land on the invoice without anyone in the office touching it?
Check Two: Card on File and Auto-Charge
Cleaning billing runs on cards on file. Check:
- Can new customers enter a card when they sign up on your website?
- Can the card be charged automatically when the job is completed, or on a schedule?
- Can customers update their own card without calling you?
- What happens when a card is declined? Does the invoice stay open and get followed up?
If any of these require a separate tool or a workaround, that is time you will spend every week. The deeper version is in Auto-Charging After Each Cleaning: Getting Paid When the Team Taps Complete.
Check Three: The Customer's Side
Your customers will judge your billing by what they see. Look at the customer side directly: can they see every invoice with clear line items, pay online and update their card from their phone? Can they see other useful things in the same place, like when the team is coming or photos of past visits? A customer app that handles billing questions is a customer app that keeps your phone quiet.
Check Four: Commercial and Multi-Address Clients
Even if most of your work is residential, you probably have, or want, a few offices, dental groups or property managers. Check whether one client can have many addresses, and whether that client can get one monthly statement covering every location with each line labeled by address. Without that, a property manager with a dozen units means a dozen invoices.
Check Five: The Rest of the Business
Billing does not stand alone. The invoice is only as good as the job behind it, and the job is only as good as the schedule. Ask whether the same software handles recurring schedules, the team's phone, quotes and customer texting, or whether you would be stitching several tools together. A short checklist of what else to look for:
- Recurring cleanings in fixed slots, scheduled months ahead.
- A team app with the cleaning details and a Complete button.
- Estimates that customers approve online and that become the job.
- Two-way texting and automated reminders.
- Sales tax, past-due follow-up and reports.
- CSV import to bring your clients over.
Check Six: Price and a Real Trial
Look for simple, published pricing with billing included rather than sold as an add-on. MaidBossPro plans are Start at $59/month, Pro at $89/month and Crew at $199/month, with invoicing, card on file, auto-charge, online payment and monthly statements on every plan.
Then actually use the trial. MaidBossPro offers a 14-day free trial with no credit card. Set up a few real clients, run a few jobs through Complete, look at the invoices and open the customer app as a customer would. Two weeks of real use tells you more than any feature list.
Choose for the Company You Are Becoming
The right cleaning billing software creates invoices from the job, charges cards on file without anyone asking, gives customers a way to pay and update their card, handles monthly statements for commercial clients, and sits on the same records as your schedule and team.
