Presenting a Cleaning Quote Clearly: Line Items, Frequency and What Is Included
A customer reading a cleaning quote wants answers to four questions: what will you do, how much is the first visit, how much is each visit after that, and how do I say yes. A quote that answers all four in a few seconds wins more jobs than a cheaper quote the customer has to puzzle over. Presentation is not decoration. It is part of the price.
Clear Quotes Win More Often
Returning customers, covered in Quoting a Home You Have Cleaned Before, already know what you do. A new customer does not. They may be comparing your quote with two others, on a phone screen, in the evening. If yours is the easiest to understand, you have an advantage before price even comes into it.
Confusing quotes create doubt. A single number with no breakdown makes the customer wonder what is included. A wall of text makes them stop reading. A discount they have to calculate makes them suspicious of the starting price.
One Line Per Service
Show each service as its own line with its own price. For a typical new recurring customer:
- First-Time Deep Clean — 3 bed / 2 bath, 1,800 sq ft: $325
- Inside Oven (first visit only): $35
- Inside Fridge (first visit only): $30
- Every-Two-Weeks Clean, from the second visit: $155 per visit
Example prices only. In MaidBossPro, each line comes from your service list, so the names are the same plain names every time and the prices match what the office quotes on the phone. The line items also carry through to the invoice, so the customer sees the same names when they are billed.
Show Frequencies Side by Side
If the customer has not decided on frequency, show the options as separate prices instead of a discount off a base number:
- Weekly: $135 per visit
- Every two weeks: $155 per visit
- Monthly: $185 per visit
This makes the trade-off obvious. More frequent visits cost less each because the home stays cleaner. The customer can choose without doing math. Pricing each frequency is covered in Weekly, Every-Two-Weeks and Monthly Cleaning Prices, Written as Separate Prices.
Say What Is Included, and What Is Not
Most cleaning disputes start with a different idea of what was included. Head them off in a short section on the quote:
- Included in every clean: kitchen counters and appliance fronts, bathrooms, dusting, floors vacuumed and mopped, beds made, trash emptied.
- Included in the deep clean: baseboards, door frames, switch plates, grout, buildup on showers and tubs.
- Not included unless listed: inside oven, inside fridge, interior windows, inside cabinets, laundry.
Keep it to a handful of lines. A full checklist can live on your website. The quote just needs enough that nobody is surprised.
State Your Assumptions
Every phone quote rests on what the customer told you. One sentence protects both sides: “This price is based on a 3 bed / 2 bath home of about 1,800 sq ft with one dog. If the home is different, we'll talk with you before the next visit.”
In MaidBossPro, those details are already on the estimate as cleaning details: cleaning type, bedrooms, bathrooms, square feet, pets and extras. They show the customer exactly what the price is based on, and they carry onto the job when the estimate is approved, so the team sees the same thing the customer agreed to.
Keep the language plain throughout. “Baseboards wiped by hand” is clearer than “detailed trim service.” “Inside of the oven” beats “appliance detailing.” Customers are deciding whether to let a stranger into their home, and plain words build trust faster than clever ones. If a line on the quote needs explaining on the phone, rewrite it.
Read your own quote on a phone screen before you send your first one. Most customers will open it on a phone, often in the evening. If the lines are too long or the prices are hard to find, that is what they will see too.
Make Saying Yes Easy
End the quote with one clear action. In MaidBossPro, the customer approves the estimate online from their phone. No printing, no signature to scan, no reply email to write. When they approve, the estimate becomes the job.
A few final touches help:
- Your logo and company name, so it looks like it came from a real business.
- A phone number or text line for questions.
- A short line about your cancellation and rescheduling policy.
Then send it fast. A clear quote that arrives the same day beats a perfect one that arrives next week. For how quote presentation fits with templates, approval and follow-ups, visit the house cleaning estimate software page.
