The Website Cleaning Quote Request Form: Getting Leads Into Form Responses
Plenty of people looking for a house cleaner never pick up the phone. They find you at eleven at night, scroll your website, and want to ask for a price without talking to anyone. If your website only has a phone number, you lose them. A simple quote request form catches them, and if it feeds straight into your office system, nobody has to copy it from an email.
Why a Request Form Matters
Speed is one of the big reasons quotes are lost, as covered in Why Cleaning Quotes Get Lost, and What to Change. A request form helps on both ends: it lets customers ask whenever it suits them, and it puts the request in front of your office in a form you can act on right away.
A form also collects the same information every time. A voicemail that says “Hi, I need a cleaning, call me back” gives you nothing to quote from. A form can ask for the bedrooms, bathrooms and frequency up front.
Where Requests Land
In MaidBossPro, the website request form flows into Form Responses. Each request arrives with the details the customer entered, in one place the office checks every day. There is no forwarding emails, no copying details into a spreadsheet, and no request buried in someone's personal inbox.
From Form Responses, the office builds an estimate from the service list using what the customer provided, adds anything learned from a quick follow-up call or text, and sends it.
What to Ask
Every extra field on a form loses a few people who give up. Ask for what you need to quote, and nothing more:
- Name, phone and email
- Address
- Type of clean: recurring, one-time, deep clean, move-in / move-out, post-construction or office
- Bedrooms and bathrooms
- Approximate square feet (optional)
- How often, for recurring service
- Pets (yes or no)
- Anything else we should know
Leave entry details, alarm codes and product preferences for later. Customers are often reluctant to put a door code into a website form for a company they have not hired yet, and you do not need it to quote.
Answer It Fast
A request form only helps if someone answers it. Decide who checks Form Responses and how often. For most cleaning companies, the target should be the same business day, and sooner is better. A customer who filled in a form at lunchtime and hears back by mid-afternoon is impressed. One who hears back three days later has already booked somebody else.
If the request has everything you need, build and send the estimate straight away. If something is missing, a short text often works better than a call: “Thanks for your request. Quick question so we can price it: when was the home last professionally cleaned?” Two-way texting from the office keeps that conversation with the customer.
Request Form or Sign-Up Form?
MaidBossPro has two website forms, and they do different jobs:
- The request form asks for a quote. The customer tells you about the home, and you send the price.
- The sign-up form lets the customer choose from the services and prices you have set, and captures a card. It suits standard services where you are comfortable publishing the price.
Many cleaning companies use both: the sign-up form for straightforward recurring service, and the request form for deep cleans, move-outs, post-construction and offices. The sign-up form is covered next, in The Cleaning Sign-Up Form: Letting Customers Pick a Service and Price Online.
Check the form yourself every so often. Fill it in from your own phone as if you were a customer, and make sure the request lands in Form Responses with everything you entered. It takes two minutes and catches problems, such as a broken link on a new page of your website, before they cost you real leads.
Finally, set expectations next to the form. A short line such as “We reply to every request the same business day” tells the customer what happens next, and gives your office a standard to meet. Only promise what you can keep.
Put It Where People Look
Make the form easy to find. A button near the top of the home page, a link on every service page, and a mention on your social profiles all help. Keep the button wording plain: “Get a Cleaning Quote” tells people exactly what happens next.
A request form will not replace the phone for every customer, but it catches the ones who would never have called. For how the request form fits with estimates, approval and scheduling, visit the house cleaning estimate software page.
