Converting a Cleaning Sign-Up Into a Client With One Click

A website sign-up is the warmest lead a cleaning company gets. The customer chose a service, saw the price, entered a card and said yes without being asked twice. The only way to lose them now is to be slow or sloppy on your end. Turning that sign-up into a client, with a first visit on the schedule, should be quick.

The Sign-Up Is Waiting

How the sign-up form works from the customer's side is covered in The Cleaning Sign-Up Form: Letting Customers Pick a Service and Price Online. This article is about what the office does once a sign-up arrives.

In MaidBossPro, sign-ups flow into Form Responses alongside website quote requests. Each one shows what the customer entered: their name, contact details, address, the service they picked and the price, with their card captured.

Review Before You Convert

Take a minute to check each sign-up before converting it:

Most sign-ups pass in seconds. The few that do not are much easier to sort out before they become clients and jobs.

One Click to a Client

When the sign-up looks right, one click converts it into a client. The office does not retype the name, phone, email or address, and the card captured at sign-up is on file. The client is now in the system like any other, ready for a job.

Because one client can have many addresses, a landlord or property manager who signs up for one rental can have more addresses added later under the same client. Tags and custom fields let you mark where the client came from, such as “Website sign-up,” which helps when you look back at which sources bring the best customers.

Collect What the Form Did Not

Website sign-ups rarely include everything the team needs. Customers are understandably cautious about putting a door code into a form for a company they have not met. After converting, reach out by text or phone to collect:

Add these to the job's cleaning details and entry notes. They will show on the team's phone under the address, and because MaidBossPro remembers each home, every future visit fills in from the last one. Two-way texting from the office is a simple way to ask: “Welcome! To get your first clean set up, how will our team get in, and are there any pets we should know about?”

Schedule the First Visit Fast

A customer who signed up online expects things to move. Aim to have the first visit on a team's day within a day of the sign-up, even if the visit itself is a week or two away. Tell the customer the date, and let automatic reminders take it from there. The customer can choose alerts the night before, when they are next, and when the team arrives.

For recurring service, give the customer a fixed slot. On Recurring Cleanings, add the home with its frequency, first date, time and team, and every visit for the next 3, 6 or 12 months goes straight onto the schedule.

If you use tags, decide on a short, fixed set before you start, such as “Website sign-up,” “Phone,” “Referral” and “Property manager.” Tags that everyone spells differently are hard to report on later.

When a Sign-Up Needs a Quote Instead

Sometimes the review shows the sign-up does not fit: the home is much larger, it needs a deep clean first, or the customer actually needs a move-out. Do not just convert and hope. Contact the customer, explain, and send a proper estimate with separate lines for the right services. The customer can approve it online, and the approved estimate becomes the job. A deep clean first is covered in Pricing the First-Time Deep Clean Before Recurring Service Starts.
