Logging In to the Cleaning Team App: Company Login Plus a Personal PIN

A cleaning team app holds sensitive things: door codes, alarm notes, lockbox locations and the addresses of homes that are often empty during the day. Who can open it matters. At the same time, cleaners will not tolerate a twelve-character password every morning. MaidBossPro handles both with two pieces: a company login and a personal PIN.

Two Layers, Two Jobs

Once the icon is on the home screen, as covered in Installing the Cleaning Team App From the Browser: No App Store Required, the next screen a cleaner sees is the login.

Each layer answers a different question:

That second part is the one that pays off day to day. When Maria taps Start at the Johnson home, the job shows Maria started it. When she clocks in for lunch, it is her time record. When she takes the after photo of the kitchen, it is her photo. Nobody is guessing who did what from a shared account.

Setting Up PINs in the Office

PINs are set up where you manage employees. For each cleaner, the office adds the person, gives them a PIN and assigns them to a team, such as Team 1 or Team 2. A few habits help:

The Morning Login

On a normal day the cleaner taps the icon, enters the company login if the phone asks for it, then their PIN. The day's homes appear in route order. The next step is usually clocking in, which is covered later in The Time Clock in the Cleaning Team App: Clock In, Lunch, Breaks and Clock Out.

Keep the morning simple. If cleaners struggle with the login every day, they will start sharing one person's phone and one person's PIN, and the records stop being useful. If someone keeps forgetting their PIN, reset it to one they will remember rather than letting them borrow a teammate's.

Why Not Just One Login for Everyone?

Plenty of small cleaning companies start with one shared account because it is easy. It works until something goes wrong:

Personal PINs answer all three. The job history shows who was there. The time records belong to each person. And when someone leaves, you turn off their PIN, and their access is gone while everybody else keeps working.

When a Cleaner Leaves

Turning off a departing cleaner's PIN should be part of the same checklist as collecting keys and the company shirt. Do it the day they leave, not at the end of the month. Their past jobs, photos and time records stay in the system, because those belong to the company's history.

If they had physical keys to any homes, collect them and note it. If they worked in homes where the customer may want a new door code, that is the customer's decision; a short, calm text from the office offering to update the entry note is usually welcome. There is more on this in Entry Codes on the Phone, Not on Paper: Practical Security Habits for Cleaning Teams.

Logins Are the Front Door of the Day

A login that takes ten seconds and points at the right person is the start of everything else the app does: homes in route order, entry notes, photos, texts and payment. Get it right on the first day and nobody thinks about it again.
