Shared Team Phones or Personal Phones: Setting Up the Cleaning Team App Either Way
Once a cleaning company decides to run its day from an app, the next question is whose phone it runs on. Some owners buy one phone per team that stays with the supplies. Others ask cleaners to use the phones already in their pockets. Both work with the MaidBossPro team app. Each has trade-offs worth thinking through before the first morning.
Why the Choice Matters
Entry codes are the most sensitive thing on the phone, as covered in Entry Codes on the Phone, Not on Paper: Practical Security Habits for Cleaning Teams. Whose phone holds them, and who carries that phone home at night, is the heart of this decision.
It also affects cost, how quickly cleaners pick up the app, and what happens when a phone is lost or a cleaner leaves.
Option One: Personal Phones
Most small cleaning companies start here. Each cleaner installs the team app from the browser on their own iPhone or Android and signs in with the company login and their personal PIN.
What works well:
- No hardware to buy. The app runs in the browser, so almost any recent phone works.
- Everyone has the app. Every cleaner can clock in, see the list and read the cards on their own phone.
- Familiar device. People are fastest on the phone they use every day.
What to plan for:
- Work and personal mix. Customer texts go through the office's two-way texting, so cleaners do not need to give out their numbers. Make that the rule.
- Phone quality varies. A cleaner with a very old or nearly full phone may struggle. Find out on day one.
- Data use. The app needs a connection. Some cleaners have small data plans; talk about it openly.
- Leaving the company. Turn off the cleaner's PIN on their last day. The app on their phone stops showing your jobs and codes.
Option Two: One Shared Phone Per Team
Some owners prefer a company phone that rides with each team's supplies, set up once and handed to whoever leads that day.
What works well:
- The company controls the device. Screen lock, charging and updates are your call.
- Codes stay on company property. Nothing goes home on a personal phone.
- Same phone, same setup. Every team has an identical device, which makes training simpler.
What to plan for:
- The PIN still matters. The person signed in is the person the job, photos and clock-ins are recorded under. When a different cleaner uses the phone, they should sign in with their own PIN rather than working under someone else's.
- Hours for everyone on the team. Decide how each cleaner records their own clock in, lunch and clock out. Many companies have each cleaner use their own phone just for the time clock, even when the team shares a phone for the job cards.
- One phone to lose. If the team phone is dead, forgotten or broken, the whole team is without the list. Keep a charger in every car and a backup plan.
- Cost. Phones and phone plans for each team are a real monthly expense.
The Hybrid Most Teams Land On
In practice many cleaning companies end up somewhere in the middle:
- The team lead runs the job cards, Start, Skip, Complete and photos.
- Every cleaner signs in on their own phone with their own PIN for the time clock and to look at the day.
- The office handles all customer texting, so nobody's personal number is involved.
This keeps the job buttons in one pair of hands, which avoids two people tapping Complete on the same home, while giving every cleaner their own accurate hours.
Setup Habits That Apply Either Way
Whichever you choose:
- Screen lock on every phone that has the team app.
- One PIN per person, never shared.
- Chargers in every car. Navigation, photos and GPS use battery.
- Install to the home screen so the app opens with one tap. See Installing the Cleaning Team App From the Browser: No App Store Required.
- Write down your policy. Who uses which phone, what is allowed on it, and what happens when someone leaves. This guide covers practical setup only; for employment questions about personal devices, talk to your own advisor.
Pick One and Keep It Simple
There is no single right answer. Personal phones are quick and free; shared phones keep everything on company devices. What matters is choosing on purpose, setting PINs properly and telling the team the rules. Either way, the app is the same and every phone shows the same day.
