Keeping Commercial Cleaning Accounts Renewing Year After Year

Winning a commercial account takes a quote, a walkthrough and a bit of luck. Keeping it takes something less exciting: showing up right, every time, for a long time. Most businesses do not shop around for a new cleaning company because of one great competitor. They shop around because their current company gave them a reason to. The goal is to never give them one.

Why Accounts Leave

Knowing what kind of commercial work fits your company, covered in Large Janitorial Contracts: Where a Maid Service Platform Fits and Where It Doesn't, is the first step. The accounts that fit are the ones worth keeping.

When a commercial account leaves, it is rarely about one bad clean. It is usually a slow build-up of small things: a missed visit nobody explained, an alarm that went off, a bill that was confusing, a text that took two days to answer, a new contact who never heard from you. Each one on its own is forgivable. Together, they add up to “let's get some other quotes.”

Be Consistent

Consistency is the most valuable thing you can offer a business client. Same night, same scope, same standard. Weekly and every-two-weeks offices keep a fixed slot, and their visits sit on the schedule months ahead, so nothing depends on anyone's memory. The same team on the same account learns the space and the client's preferences.

When the team does change, the job card makes up for it. The new team sees the same cleaning details, extras, entry notes and past notes, so the client should not notice the difference.

Make Access Boring

Nothing hurts a commercial account like access problems: a team locked out, an alarm triggered, a door left open. Keep entry notes on every address current, update them the moment a client sends a new code, and make sure the note includes how to lock up and set the alarm on the way out. When access works every time, the client stops thinking about it, which is exactly what you want.

Show the Work

Business clients rarely see you clean. Before-and-after photos saved with each job give them something to look at. For property managers, photos of every move-out are part of what they are paying for. For offices, a few photos a visit are a quiet reminder that the work is getting done. When you turn it on, clients can see photos on past visits in the customer app.

Send Bills Nobody Has to Question

A clear, accurate bill is a surprisingly strong reason to stay with a vendor. Accounts set to Monthly get one statement covering every location, with each line labeled with the address. Extras appear on their own lines, so nobody wonders why one month was higher than another. Past-due follow-up handles reminders politely, without the awkwardness of a personal call.

Answer Quickly, and Speak Up First

Two-way texting from the office lets you answer client messages fast, from whoever is on hand. Just as important is reaching out before the client has to. If a visit was skipped, text them the next morning. If the team noticed a leak, send a photo. If the account is growing and the price no longer fits, bring it up with specifics before it becomes a sore point. Clients trust vendors who tell them things.

Check In Before Renewal Time

Many commercial accounts run on a yearly agreement or simply on a habit of renewing. Either way, a check-in a month or two before the anniversary is a good idea. Use a custom field to record the start or renewal date, and a tag like “Renewal Due” to see which accounts are coming up. A short conversation, such as “How are we doing? Anything you would like us to change?”, catches small problems before they become reasons to leave. More on that in Tags and Custom Fields for Commercial Cleaning Accounts.

If you need to raise prices, the check-in is the right time. Send an updated estimate, explain why, and let the client approve it online.

When the Contact Changes

The riskiest moment in a commercial account is when the person who hired you leaves. The new office manager or property manager has no history with you and may have their own favorite cleaning company. Reach out right away: introduce yourself, explain what you do for them and when, and offer a quick walkthrough. Because all the locations, jobs, photos and statements are under one account, you can show them the whole history in minutes.
