Reports by Account: Knowing Which Commercial Cleaning Clients Pay Off

Every maid service has a client or two that feels busy but never seems to pay off. It might be the office across town that always runs long, or the property manager who sends rush jobs at the worst times. Gut feeling is a starting point, but it is not enough to make a decision on. Reports by account show what each client is actually worth to your business.

Why Commercial Accounts Need a Closer Look

Tagging accounts consistently, covered in Tags and Custom Fields for Commercial Cleaning Accounts, makes reports far more useful. Once accounts are tagged by type, you can compare like with like.

Commercial accounts are harder to judge than homes. A single property manager might send twenty jobs one month and two the next. An office might look profitable on paper until you count the drive and the after-hours time. Reports bring all of that together in one place.

What to Look at for Each Account

When you look at a commercial account, a few questions matter most:

No single number tells the whole story. A client who sends lots of work but always pays late may still be worth keeping. A client who pays perfectly but takes far longer than you priced is not.

Comparing Account Types

Reports are also useful one level up. If your accounts are tagged, you can compare your offices as a group against your move-out work, your rental turnovers and your recurring homes. That helps answer bigger questions: Is the evening office route worth running? Should we take on another property manager? Are rental turnovers worth the scheduling headaches?

There is no right answer for every company. Some maid services find office work steady and easy; others find it drains their best people. The reports help you decide for your own business instead of guessing.

Count the Hidden Costs

Some of the cost of an account never shows up on its invoice. Drive time to an office that sits far from your other work, the extra trip when a lockbox code fails, the texts back and forth to schedule a rush turnover, and the hour your office spends sorting out a confusing statement all come out of your pocket. When you look at an account's numbers, think about those too.

The map and dispatch board help here. If an account's pins sit far from everything else on the map, it is costing you more to reach than an account in the middle of your route. Skips with notes show how often a visit failed for reasons outside your control.

When the Numbers Say Raise the Price

The most common thing reports reveal is an account priced too low. The office has grown, the property manager's units are dirtier than they used to be, or the drive has gotten longer. When that happens, the answer is usually a friendly price conversation, not dropping the client.

Have the conversation with specifics. “Your offices have taken us longer every month since you added the second floor” is easier to hear than “We need to raise prices.” Send an updated estimate and let the client approve the new price online. When the Numbers Say Let It Go

Occasionally, an account just does not fit. It is far from everything else, it pays late, and it takes time away from clients who value you. Reports make that decision clearer and less emotional. If you decide to end the relationship, do it politely, with notice, and return any keys you hold. A clean ending protects your reputation.

Make It a Regular Habit

Reports are only useful if you look at them. A good habit is a quick review once a month when the statements go out, and a deeper look once a quarter. Note which accounts grew, which shrank, and which need attention. Over time, you will spot which kinds of commercial work suit your company best, and you can go looking for more of them.

Office user roles let you control who can see reports, so the numbers stay with the people who need them.
