Commercial Cleaning Software for Maid Services: The Complete Guide to Offices, Rentals and Move-Outs
Very few maid services set out to do commercial work. It finds them. A weekly customer owns a small accounting office and asks whether you could do it on Fridays. A neighbor who manages rentals needs a unit cleaned before the new tenant gets the keys. A builder you met at a job site wants the drywall dust gone before the buyer's walkthrough. Say yes a few times and you have a second kind of customer, with different expectations, sitting on top of a business built for homes.
This guide walks through that second kind of customer: who they are, what they expect, where they trip up a residential system, and how to keep the work organized without buying a separate janitorial program.
What Counts as Commercial Work for a Maid Service
For most residential cleaning companies, “commercial” does not mean office towers. It means a handful of account types that sit close to home cleaning:
- Small offices. Insurance agencies, title companies, real estate offices, small law and accounting firms, studios. Usually weekly or every two weeks, often after hours.
- Dental and medical offices. Waiting rooms, restrooms, break rooms and front desks, cleaned when patients are gone.
- Property managers. Move-out cleans and make-ready cleans between tenants, across many addresses.
- Short-term rental hosts. Turnover cleans between guests, often on short notice.
- Realtors. Move-in cleans for buyers and pre-listing cleans for sellers.
- Builders and remodelers. Post-construction cleans before a walkthrough or closing.
All of these are cleaning jobs your teams already know how to do. What changes is the paperwork around them. The MaidBossPro commercial cleaning software page gives the short version; this guide goes deeper.
Where Business Clients Break a Home-Cleaning Setup
A residential customer is simple: one name, one address, one card, one recurring visit. Business clients bend each of those.
One name, many addresses. A property manager might send you twelve different units this year. A dental group might have three clinics. If each address becomes its own client, you lose the history, the billing contact and the sense of how much that account is really worth.
The person paying is not the person at the door. The office manager who hired you is gone by 6pm when your team arrives. The property manager has never seen the inside of Unit 4B. They need proof, not a promise.
They want one bill. A bookkeeper at a management company does not want eight separate invoices for eight move-outs. They want one statement at the end of the month, with each address on its own line.
Getting in is harder. Lockboxes, office keys, door codes and alarm panels are the difference between a finished job and a team standing in a parking lot.
Setting Up Accounts the Right Way
In MaidBossPro, a client can have many addresses. Create the property manager or the dental group once, then add each unit or clinic underneath. Every address keeps its own cleaning details: the cleaning type, bedrooms, bathrooms, square feet, pets, extras and entry notes. When a new job is scheduled at an address you have cleaned before, it fills in from that address's last job, with a note saying so, so nobody re-types a lockbox code.
Tags and custom fields help you sort it all. Tag accounts as Office, Property Manager, Rental Host, Realtor or Builder, and add custom fields for things like unit number, building name or the manager's preferred contact. The full setup is covered in One Account, Many Locations: Setting Up Commercial Cleaning Clients With Several Addresses.
Scheduling: Recurring Offices and One-Time Units
Commercial work splits cleanly into two kinds of scheduling.
Recurring offices work like recurring homes: a fixed slot, same day, same time, same team. Add Recurring Cleaning puts every visit for the next 3, 6 or 12 months straight onto the schedule, so a dental office cleaned every Friday at 6:00 PM shows on the Scheduled List and the evening team's app each week with the time on the card. From the Recurring Cleanings list you can Change the team, day, time or price for upcoming visits, Extend 6 months, or Stop the series.
Move-outs, make-readies, rental turnovers and post-construction cleans are one-time jobs. They go on the dispatch board for a specific day and team. The cleaning type on the job (Move-In / Move-Out, Post-Construction, Office / Commercial) tells the team what kind of visit it is before they open the door.
Many companies end up with a daytime team on homes and an evening team on offices. Each team is set up like a vehicle (“Team 1,” “Team 2”), and the dispatch board filters by team, so you can build the evening office route without touching the daytime homes. Auto-route can order the stops Closest First or Furthest First from your office, and route sheets print for anyone who still likes paper.
On the Job: Entry Notes, Details and Photos
The team app runs in the browser on iPhone and Android, with a company login and a personal PIN. Each stop shows the address with a navigation button, the cleaning type and size (“Move-In / Move-Out · 2 bed / 1 bath · 950 sq ft”), the extras (“+ Inside Oven, + Inside Fridge”) and the entry notes underneath: lockbox, key, door code, alarm, rooms to skip and products to use.
The team taps Start, cleans, takes before-and-after photos, and taps Complete. Those photos stay with the job. For a vacant unit or an office cleaned after hours, they are the only way the client sees the work. When you turn it on, customers can see before-and-after photos on past visits in the customer app.
If the team cannot get in, they tap Skip and write why: “Lockbox code did not open, no key on site.” The office sees the skip with the note and can text the manager right away.
Quotes, Approvals and Billing
Commercial clients almost always want a price in writing first. MaidBossPro estimates are built from your own service list: office cleaning, move-in / move-out, post-construction, deep clean and add-ons like inside oven, inside fridge, cabinets, baseboards and walls. Pricing can tie to bedrooms, bathrooms or square feet. The client approves the estimate online, and the approved estimate becomes the scheduled job, with the details carried over. Estimate templates and follow-up emails help with clients who take a while to decide.
Billing is where business clients are most different. Set an account to Monthly and it gets one statement each month covering every location, with each line labeled with the address. Invoices carry line items and sales tax, a card on file can be charged on completion or on a schedule, and past-due follow-up handles the accounts that drift. Monthly statements get their own guide in Monthly Statements for Commercial Cleaning Accounts: One Bill for Every Location.
Communication and Keeping Accounts
Two-way texting from the office keeps managers in the loop without phone tag. A property manager can text a new lockbox code, an office manager can tell you the office is closed Monday, and the reply lands in the same thread the whole office can see. Automated reminders and alerts go out by text and email.
Keeping commercial accounts is mostly about being boring in the best way: showing up on the right night, getting in without calling anyone, leaving the alarm set, and sending a clean bill. Reports by account help you see which clients are worth the drive and which ones need a price conversation.
What This Is Not
MaidBossPro is built for residential cleaning companies that take on small offices, rentals and move-outs. Large janitorial contracts with many buildings, nightly crews, supply contracts and formal bid processes are outside its typical use. It also does not connect to rental booking platforms; hosts send turnover requests by text, email, the customer app or your website request form. Being clear about that up front saves you a bad fit.
If your commercial work looks like a few offices, a property manager or two, some rental hosts and the occasional builder, it fits right in next to your homes. See how it all comes together on the MaidBossPro commercial cleaning software page.
Take On Offices and Rentals Without a Second System
MaidBossPro keeps many locations per account, monthly statements, entry and alarm notes, before-and-after photos and online quote approval in the same place as your recurring homes.
