House Cleaning Software: The Complete Guide for Maid Services and Cleaning Companies

Most maid services start the same way. One person cleans homes, keeps a paper calendar or a phone full of reminders, and texts clients from their personal number. It works until it doesn't: a second cleaner joins, a few clients go every two weeks while others go monthly, somebody forgets a lockbox code, and an invoice from three weeks ago never got paid. That is usually the moment an owner starts looking for house cleaning software.

This guide walks through what that software should do for a small cleaning company, piece by piece, so you know what to expect and what to ask for.

What House Cleaning Software Is For

This guide is the starting point for the house cleaning software guides on this site. Each section below has its own deeper article.

At its simplest, house cleaning software keeps four things in one place: your clients, their homes, the cleanings you do at those homes, and the money that comes in for that work. Everything else, from routes to text messages, grows out of those four records.

The difference between cleaning software and a general job tracker is what it knows about a home. A cleaning job is not just an address. It is a type of cleaning, a number of bedrooms and bathrooms, a square footage, a pet, a list of extras and a way inside. Software that keeps those details on the job lets anyone on your team walk in prepared. For a shorter overview, see What Is House Cleaning Software, and What Does It Actually Do?

Cleaning Details on Every Job

In MaidBossPro, every job carries the details a cleaner needs:

These details show under the address on the office lists and on the team's phone, in a line like “Recurring Maintenance · 3 bed / 2 bath · 1,800 sq ft · Dog”, with “+ Change Linens” and the entry notes underneath. When details are entered on an estimate, they carry onto the job when the client approves it.

The software also remembers each home. When you book a new job at a home you have cleaned before, it fills in from that home's last job: beds, baths, pets, extras and the entry code, with a note saying it did. Nobody re-types the lockbox code.

Recurring Cleanings and the Waiting List

Recurring clients are the backbone of most maid services. In MaidBossPro, each recurring client keeps a fixed slot: the same day, the same time and the same team. On Recurring Cleanings, you click Add Recurring Cleaning, pick the home, the service and price, weekly, every two weeks, every four weeks or monthly, the first date, the time and the team, and schedule 3, 6 or 12 months ahead. Every visit goes straight onto the schedule and the team's app, with the time on the card.

The list shows each slot, like “Every 2 weeks · Tuesdays · 9:00 AM · Team 1”, and warns you when a series is running out. Change a series' team, day, time or price for upcoming visits, Extend it 6 months or Stop it. One visit can still be moved or skipped on its own.

The Waiting List is for one-off work waiting to be booked: new deep-clean and move-out requests, approved estimates and web requests, on a map and list so you can fit them in near homes already on a team's day.

Teams, Routes and the Team App

Recurring visits are already there, and the office books one-off jobs from the Waiting List onto a team and a day. On the Scheduled List, or dispatch board, you see jobs by day and filter by team. Each team is set up like a vehicle, such as “Team 1” or “Team 2”. You can auto-route a team's day Closest First or Furthest First from the office, set the order by hand, save views you use often and print route sheets.

The team sees the same order on the team app. It runs in the browser on iPhone and Android and can be installed to the home screen, with no app store. Cleaners log in with your company login and a personal PIN. Each card shows the home with a navigation button, the cleaning details, extras, entry notes and past notes. The team taps Start, Skip or Complete, takes before and after photos, and clocks in and out for the day, lunch and breaks.

As the team works, clients get automatic “on the way” and “arrived” texts. When the team taps Complete, the invoice is created and a card on file can be charged. Team GPS shows on the office map, so you know where everyone is.

The Customer App, Estimates and Texting

Your clients get their own app. They can see today's route on a live map (“You're stop 12 of 20 — the crew is 5 stops away”), request service, sign up for services and pricing, update their card, see invoices and pay, and rate and refer. If you turn it on, they can see before and after photos on past visits. They choose their alerts: the night before, when they are next, and when the team arrives.

New work starts with an estimate built from your own service list: standard cleans, weekly, every-two-weeks and monthly cleans, deep cleans, first-time deep cleans, move-in / move-out, post-construction, office cleaning and add-ons. Pricing can tie to bedrooms, bathrooms or square feet. The client approves online, and the approved estimate becomes the scheduled job. Follow-up emails and estimate templates help the quotes that stall.

A request form and a sign-up form on your website feed into Form Responses, and a sign-up (with the card captured) converts to a client in one click.

Two-way texting lets the office talk with clients from one place, and automated reminders and alerts go out by text and email. Each plan includes a monthly text allowance of 500, 1,000 or 2,000 segments, sent and received, on Start, Pro and Crew.

Billing, Office Accounts and Running the Business

Invoices carry line items and sales tax. A card on file can be charged automatically when a job is completed or on a schedule, clients can pay online from the customer app, and past-due invoices get follow-up.

Offices, dental groups and property managers are often better on monthly account billing. Set the account to Monthly and it gets one statement each month covering every location, with each line labeled by address.

Behind all of that are the basics: one client with many addresses, tags and custom fields, CSV import with addresses placed on the map automatically, reports, office user roles, and employees with PINs and team assignments. MaidBossPro works in the US, Canada, Australia, New Zealand and the UK, and bills clients in their own currency.

Choosing and Setting Up House Cleaning Software

When you compare options, judge them on your real week. Can it hold your cleaning details? Do recurring clients keep the same day, time and team without you rebooking them? Can a new cleaner run a day from the phone without calling you? Does the client get a heads-up before the team arrives? Does the invoice go out and get paid without you chasing it?

Price matters, but so does what is included. MaidBossPro is $59, $89 or $199 a month on the Start, Pro and Crew plans, with a 14-day free trial and no credit card. The best way to judge it is to import a few real clients and run a real week. For a day-by-day plan, read Setting Up House Cleaning Software in Your First Week.
