Before-and-After Photos as Proof of Service for Property Managers
With a home customer, the proof of a good clean is the customer walking in that evening and smiling. With a property manager, there is no one walking in. The unit is empty, the manager is across town, and the next person through the door is a new tenant who has no idea what it looked like before. Photos are how the client sees your work.
Why Photos Matter More for Commercial Work
Clean bills, covered in Getting Paid by Commercial Cleaning Accounts: Card on File, Statements and Past-Due Follow-Up, are hard to dispute. Photos make them harder still, because every line on the bill has a picture of the work behind it.
Property managers, office managers, rental hosts and builders all have the same problem: they pay for cleans they never see. Most of the time, that is fine. But when an owner complains, a tenant disputes a deposit deduction, or a guest leaves a bad review, the manager needs something to point to. Your photos give them that.
How Photos Work in the Team App
In MaidBossPro, the team takes before-and-after photos right in the team app, on the same phone they use for the route. The photos are saved with the job, so they stay attached to that address and that visit. The office can see them as soon as the job is complete, and when you turn it on, customers can see before-and-after photos on past visits in the customer app.
There is no separate camera roll to sort through and no emailing photos one by one. The record is simply there, with the job.
What to Photograph on a Move-Out
You do not need a hundred photos. You need the right ones. For a move-out or make-ready, the photos property managers care about most are:
- Inside the oven. Before and after. Usually the biggest visible difference.
- Inside the fridge. Open door, shelves and drawers.
- Bathrooms. Tub or shower, toilet, sink and mirror.
- Kitchen counters and sink. Wide shot from the doorway.
- Each main room. One wide shot from the doorway showing the floor.
- Anything unusual. Damage, stains that would not come out, items left behind.
Taking the before photos first, from the same spots as the after photos, makes the comparison obvious.
Photos for Offices and Rentals
Office managers usually only need a few: the restrooms, the break room and the main floor. A quick set each visit shows the office was cleaned and when. For short-term rentals, photos of each made bed and the kitchen show the host the home is guest-ready. Before photos in a rental can also document a mess or damage left by a guest, which the host may need.
For builders, photos at each phase show progress without a site visit, as covered in Rough, Final and Touch-Up: Scheduling Post-Construction Cleaning in Phases.
Photos Protect Your Company Too
Photos are not only for the client. They protect your company when something goes wrong after you leave. If a contractor comes in the next day and tracks mud through the unit, your after photos show it was clean when you finished. If a tenant claims the bathroom was never cleaned, the photo answers the question.
Photos also back up honest notes. When a stain will not come out or an oven has years of baked-on grease, a photo with a short note (“Oven cleaned twice, some staining remains”) tells the manager exactly what to expect, before they find it themselves.
Good Photos Are Easy Photos
A useful photo does not need to be beautiful. It needs to be clear. Turn on the lights, open the blinds, and stand far enough back to show the whole fixture or room. Hold the phone steady and take one more shot if the first one is blurry. For close-ups, like the inside of an oven or a stained grout line, get close enough that someone looking at the photo later can tell exactly what they are seeing.
Try to take the before and after from the same spot. When a property manager flips between the two, the difference should jump out without any explanation. That is what turns a photo from a record into a reason to keep sending you units.
Making Photos a Habit
The hardest part of photos is remembering to take them. Make before photos the first thing the team does after tapping Start, and after photos the last thing before tapping Complete. Add a short reminder to the notes on property manager accounts, like “Before and after photos of oven, fridge and bathrooms, please.” New team members learn the routine quickly when it is written on the card.
