Moving or Skipping One Visit vs. Changing the Whole Recurring Series
A client calls on Monday. “Can you come Wednesday instead of Tuesday?” Before anyone in the office touches the schedule, there is one question to answer: do they mean this week, or from now on? Getting that right is the difference between a schedule that stays tidy for years and one that slowly falls apart.
Two Kinds of Change
Every recurring client in MaidBossPro has a series with visits scheduled months ahead, as covered in How Far Ahead to Schedule Recurring Cleanings: 3, 6 or 12 Months and When to Extend. That gives you two places to make a change:
- One visit, on the schedule. Move it to another day, skip it, or edit it on its own. Only that visit changes.
- The whole series, on the Recurring Cleanings list. Change the team, the day of the week, the time or the price. Every upcoming visit follows, and finished visits stay as they were.
The rule of thumb for the office is short: “just this once” means the visit, “from now on” means the series.
When to Move One Visit
Most changes are one-offs. Moving a single visit is the right call when:
- A holiday lands on the client's day. Thanksgiving Thursday becomes Wednesday that week.
- A team member is out sick. Move the day's visits to tomorrow, or to another team for that day only.
- The client has a conflict. A contractor is in the kitchen, or family is staying over.
- Weather or a road closure makes a part of town hard to reach that day.
Move the visit on the schedule and it shows on the new day's Scheduled List and on the team's app. The slot does not change. Next time, the client is back on Tuesday at 9:00 with the same team, exactly as before. Nobody has to remember to move them back.
When you move a visit, earlier is usually kinder than later. A client who expects a clean house before the weekend would rather have Thursday than Monday.
When to Skip One Visit
Sometimes there is no good day to move to. The family is away for two weeks, or the client simply wants to miss one. Skip the visit and leave the rest of the series alone. There is no pause button, so a client who is away for a month means skipping the visits that fall in that month, or moving one to the day after they get back.
On the team side, the team can tap Skip on their phone with a note when they arrive and cannot get in: “Nobody home, lockbox empty.” The office sees the reason and decides whether to rebook that one visit later in the week. More on handling those in Skipped Visits on a Recurring Cleaning: Locked Doors, Sick Kids and Last-Minute Calls.
When to Edit One Visit
A single visit can be edited too. This is where one-time differences belong:
- An extra for this visit only, like “+ Inside Oven” before a holiday dinner.
- A note for this visit, such as “Guest room in use, skip it this time.”
- A different time on a day when the client needs the team gone by noon.
The team sees the change on that visit's card, and the next visit goes back to normal.
When to Change the Series
If a change is meant to last, change the series on the Recurring Cleanings list. Typical reasons:
- New day. The client started a job with Tuesday meetings and wants Thursdays from now on.
- New time. School pickup moved, so 9:00 AM becomes 10:30 AM.
- New team. A team member left, or you are rebalancing routes.
- New price. Your yearly price update, or a bigger house after a remodel.
Change applies to all upcoming visits in one step. The row on the list updates, for example to “Every 2 weeks · Thursdays · 10:30 AM · Team 2,” and every future visit on the schedule follows. Visits already finished keep their old day, team and price, so past invoices and history stay accurate.
A change of frequency, such as weekly to every two weeks, is the one exception. That means stopping the series and adding a new one with the new frequency.
Mistakes to Avoid
- Moving visits one by one to change a slot. If a client is switching to Thursdays for good, editing twelve visits by hand is slow and easy to get wrong. Change the series once.
- Changing the series for a one-off. If you change the whole series to Wednesday for one holiday week, every future visit moves too.
- Forgetting to tell the client. A one-line text through two-way texting after any change, single visit or series, prevents a surprised face at the door.
Keeping the Slot Steady
A recurring client's slot is the promise at the heart of the service. Single-visit moves and skips let you bend around real life without breaking that promise, and series changes let the slot grow with the client.
