The Recurring Cleanings List: Every Client's Slot, Next Visit and Schedule in One Place
Every cleaning company with standing clients has the same question on a busy Monday: who do we have, when are they, and is everyone still on the books? In a spreadsheet, answering it means scrolling, filtering and hoping the last person to edit it was careful. In MaidBossPro, the answer is one screen.
One Line Per Standing Client
Whether a client started weekly, moved to every two weeks or switched back, as covered in Changing a Recurring Cleaning Client From Weekly to Every Two Weeks (and Back), every recurring client ends up as a series. The Recurring Cleanings list, found under Schedule → Recurring, shows every series you run.
Each row reads like a sentence: “Every 2 weeks · Tuesdays · 9:00 AM · Team 1.” That is the client's slot, the promise you made them. Alongside it, you see:
- The home and the service, with its price.
- The next visit, so you know when the team is due there.
- How far ahead it is scheduled, so you know when the visits on the schedule end.
- A warning when the series is running out, so a client never quietly drops off the end of the schedule.
Nothing on this list is waiting to be booked. Every visit in every series is already on the Scheduled List for its day and on the team's app, in route order, with the time on the card. The list is where you look after the slots, not where you book them.
Reading the List on a Monday Morning
A quick pass down the list each week tells you a lot:
- Who is on each team. Scanning the team names shows how many standing homes each team carries, and whether one team is far heavier than another.
- Which days are full. If half your every-two-weeks clients are on Tuesdays, you know where new clients should not go.
- Which series need attention. The running-out warning is the one to act on. Extending takes one click, and it keeps the client's visits on the schedule.
Owners who run a few teams often make this part of the Monday routine, right after checking the week's Scheduled List.
Change, Extend or Stop
Each row has three actions:
- Change the team, the day of the week, the time or the price. The change applies to all upcoming visits in the series. Visits already finished stay exactly as they were, so your history and invoices are untouched.
- Extend 6 months adds another half year of visits on the same slot, straight onto the schedule.
- Stop ends the series when a client leaves. Their past visits stay on record.
Change is the one you will use most. A client asks to move from Tuesdays to Thursdays. A team member leaves and her homes move to Team 2. Prices go up in January. Each of those is one Change on the series instead of editing dozens of visits by hand. The ins and outs of extending are in How Far Ahead to Schedule Recurring Cleanings: 3, 6 or 12 Months and When to Extend.
The Series vs. a Single Visit
The list works on the whole series. When only one visit needs to change, such as the Thanksgiving week cleaning or the week the client has family in town, go to that visit on the schedule and move it, skip it or edit it on its own. The slot on the Recurring Cleanings list does not change, and the next visit lands on the usual day.
A simple rule for the office: if the client says “from now on,” change the series. If they say “just this once,” change the visit.
Adding a New Client From the Same Screen
The list is also where new standing clients start. Click Add Recurring Cleaning, pick the home, the service and price, the frequency (weekly, every 2 weeks, every 4 weeks or monthly on the same date), the first cleaning date, the time and the team, and choose 3, 6 or 12 months ahead. The home's cleaning details from its last cleaning, like beds, baths, pets, extras and the entry code, are copied onto every visit. The new client shows on the list right away.
Because the list shows every existing slot by day and team, it is easy to see where a new client fits before you pick the date. A new home three streets from a Team 1 Thursday client belongs on Thursday with Team 1.
Where the Waiting List Fits
MaidBossPro also has a Waiting List, a live map and list of one-off work waiting to be booked: new deep-clean or move-out requests, approved estimates and requests from your website form. Recurring clients are never on it, because their visits are already scheduled. The Waiting List is where the office books one-off jobs into the open space around the standing slots.
Keeping those two screens separate keeps the office calm. Standing clients live on the Recurring Cleanings list and look after themselves. One-off work lives on the Waiting List until someone books it. To see the whole recurring system together, visit the MaidBossPro recurring cleaning software page.
