Winning Back Lapsed Recurring Cleaning Clients
A former recurring client is one of the warmest leads you have. They already know your teams, your prices and how the house feels after you leave. You already know their home, their pets and their lockbox code. Yet most cleaning companies never contact a former client again after the last visit. A little outreach brings some of them back.
Who Counts as Lapsed
If you have been recording cancellation reasons, as covered in Recurring Cleaning Cancellations: Recording Why Clients Leave, you already have a list of former clients sorted by why they left. That list is where win-back starts.
Lapsed clients fall into a few groups:
- Formal cancellations. They told you they were stopping.
- Quiet drift. They kept skipping and asking to wait, and at some point the visits just stopped.
- One-time clients who never converted. A deep clean or a move-out, then nothing.
The quiet drifters are easy to miss. Their series may still be on the Recurring Cleanings list with visit after visit skipped and notes like “client asked to wait.” Review those every so often, decide whether the client is still active or has lapsed, and Stop the series if they have.
Who to Contact, and Who Not To
Not every former client is worth a win-back message. Use the cancellation reasons you recorded:
- Good candidates: left over money, a schedule conflict, a life change, or a team who has since left.
- Maybe: left over quality, if you have made a real change since then.
- Skip: moved out of your area, or asked not to be contacted.
Tags make this simple. A tag like “Win-back candidate” on the right former clients gives you a list to work from.
Timing
Reach out too soon and it feels pushy. Wait too long and they have found someone else or stopped thinking about it. Some natural moments:
- A few months after they left, when the reason may have passed.
- Before the holidays, when everyone wants the house clean for guests.
- Spring, when people think about a fresh start.
- When something changed on your side, such as a new team in their area or a fix for the problem they had.
What to Say
Keep it personal and low-pressure. A text through two-way texting or a short email works:
“Hi Tom, it's Amy from [your company]. We still have your home details on file and our Tuesday team is back on your side of town. If you'd like us to come by before the holidays, just reply and I'll find you a slot.”
That message is personal, reminds them how easy it would be, mentions something specific, and makes the next step tiny. Avoid guilt and avoid long sales pitches.
If they left over quality, name it: “I know the last few visits weren't what you expected. We've made some changes since then and I'd love the chance to show you.”
Offers That Work
Not every win-back needs a discount. Ease and familiarity do a lot. When you do make an offer, keep it simple:
- A free add-on on the first visit back, like inside the fridge or baseboards.
- A reset clean at the regular price. If the home has gone months, it may need a deep clean first. Offering the first visit back at the recurring price is a meaningful gesture.
- A different schedule. A client who left weekly service over cost might come back monthly.
Price any offer from your own service list so the invoice is clear about what was included.
Getting Them Back on the Schedule
This is where keeping the client record pays off. Their home is still in MaidBossPro, with its address already on the map. When you set them up again, the home's details from its last cleaning, including beds, baths, pets, extras and the entry code, carry onto the new visits. Check anything that may have changed while they were gone, especially entry codes and pets.
Then:
- On Recurring Cleanings, click Add Recurring Cleaning with a first date, time and team that cover their neighborhood.
- Pick the frequency and schedule 3 months ahead to start, then extend once they settle back in.
- Ask them to confirm or update their card in the customer app.
- Remove the win-back tag and add a note on when they returned.
Pay extra attention to the first few visits back. Before-and-after photos help show that things are different this time, as covered in Before-and-After Photos for Recurring Cleaning Clients.
Make It a Habit
Win-back works best as a regular routine, not a one-time campaign. Once a quarter, look at your lapsed list and send a handful of personal messages. To see how win-backs fit with the rest of recurring work, visit the MaidBossPro recurring cleaning software page.
