Switching House Cleaning Software Without Missing a Cleaning
Maybe your current software was fine when you started and you have outgrown it. Maybe it is generic field-service software that never understood cleaning. Maybe it is a booking-form tool that takes requests but does nothing after. Whatever the reason, switching feels risky. Your clients expect their cleaning on schedule, and nobody wants a week where homes get missed because the system changed.
It does not have to be painful. The key is to switch in the right order.
After the Demo
What to Look for in a House Cleaning Software Demo covered how to judge new software. Once you have picked one, this guide covers the move itself.
Pick a Quiet Week
Timing matters. Avoid the busiest stretch of your year, like the weeks before the holidays or the start of move-out season. A normal week with mostly recurring work is the easiest time to switch. Tell your team the date ahead of time.
Step 1: Export Your Clients
Export your client list from your current software as a CSV file. Most programs have an export option somewhere in their settings or client list. Open the file in a spreadsheet and clean it up:
- Remove duplicates and clients you no longer serve.
- Check phone numbers and emails.
- Make sure addresses are complete.
Then import it into MaidBossPro. Imported addresses are placed on the map automatically. The details are covered in CSV Import: Moving Your Client List Into House Cleaning Software.
Step 2: Move the Home Details
Your old software may not have held all the cleaning details, or held them in a notes field. Go through your homes and add:
- Cleaning type and recurring plan.
- Bedrooms, bathrooms and square feet.
- Pets and extras.
- Entry notes, including codes and the alarm.
Start with the homes on your first week's schedule. You can fill in the rest as they come up. Each new job at a home fills in from its last job, so you only do this once per home.
Step 3: Add Recurring Cleanings in Their Usual Slots
This is the step that prevents missed cleanings. For each recurring client, open Recurring Cleanings and click Add Recurring Cleaning. Pick the frequency, their next cleaning date on the day it would normally fall, the usual time and the usual team, using your old calendar as the guide. Choose 3, 6 or 12 months, and every visit in that range goes straight onto the schedule.
Do this for every regular client, weekly through monthly. Then check the dispatch board against your old calendar. If a regular client is missing, add them before the week starts.
Step 4: Run a Short Overlap
For your first week, keep the old system open as a check. Look at the week on the MaidBossPro dispatch board, then compare it with what the old system says. Anything missing gets added. After a week or two of the two matching, you can stop looking at the old one.
Step 5: Move the Team
Set up each employee with a PIN and a team. Show them the team app on their own phones: log in, read a card, tap navigation, Start, photos, Complete. Pick a day when the team switches over completely, and from that day the old app or printed sheets are not used.
Step 6: Move Billing Last
Billing is the piece to move carefully. Finish invoicing any cleanings done in the old system there, so nothing is billed twice or not at all. Then, starting from a clear date, let invoices be created in MaidBossPro when the team taps Complete.
Cards on file usually need to be added again in the new system. Ask clients to add their card in the customer app. A short, friendly text explaining that you have moved to new software, and what they will see now, goes a long way.
Step 7: Tell Your Clients
Clients will notice new reminders, a new customer app and new invoices. Tell them before they notice. A short message works: what is changing, what they will get (night-before reminders, on-the-way texts, a live map, online invoices) and how to add their card. Most clients like the change.
Cancel the Old One When You Are Sure
Do not cancel your old software the day you start. Wait until the overlap is done, billing is moved and you have exported anything you might want later, like past invoices. Then cancel.
The full first-week plan is next. To see what you are switching to, visit the house cleaning software page.
