Scheduling Office and Rental-Property Cleans Alongside Homes
Many house cleaning companies pick up a few accounts that are not houses: a small office, a dental suite, a property manager with a handful of rentals, a landlord who needs turnovers between tenants. This work can be steady and pays reliably. It also behaves differently on the schedule, and mixing it with homes takes a little planning.
Another Kind of Long-and-Short Day
Balancing big and small cleans for one team is covered in Mixing Long and Short Cleans in One Team Day. Office and rental work adds a different kind of variety: different hours, different access, and different people to answer to.
Offices Have Hours
The biggest difference with an office is time. Most offices want to be cleaned when nobody is working: early morning before opening, after closing, or on a weekend. That does not fit the usual 9-to-3 shape of a residential team day.
A few ways companies handle it:
- Last stop of the day. A small office that closes at 5 goes at the end of a team's route. After auto-routing, set the route order by hand to put it last.
- Its own evening slot. If you have several offices, some owners schedule them as a separate evening team with its own name on the board.
- The owner's job. Some owners clean the offices themselves, outside the residential teams' hours.
In MaidBossPro, the cleaning type Office / Commercial shows on the board and on the team's card, so nobody confuses an office stop with a home.
Rentals and Turnovers
Rental properties come in two flavors. Long-term rentals need a move-out clean when a tenant leaves and sometimes a move-in clean before the next one arrives. Short-term rentals need a clean between guests.
Move-out and move-in cleans are one-time jobs with deadlines, and they fit the way other big jobs do. Recurring rental cleans, like a vacation home cleaned every week, can be set up with Add Recurring Cleaning like any home: a fixed day, time and team, with every visit for the next 3, 6 or 12 months placed straight on the schedule.
Turnovers tied to specific guest check-out and check-in times need the most care. Keep notes on the property about the timing, and confirm with the manager before you lock in a team.
Access Is Different
Offices and rentals almost always mean nobody is there to open the door. Entry notes carry the weight:
- Lockbox location and code, or which key on the ring.
- Alarm code and how long the team has to enter it.
- Which entrance to use, and where to park.
- Who to call if the code fails, especially after hours.
- Rooms to skip, like a server closet or an owner's locked storage.
In MaidBossPro, entry and notes show on the team's card under the cleaning details. A new job at a property you have cleaned before fills in from the last one, entry code included. More on this in Entry Codes on the Card: Lockboxes, Keys and Alarms in the Team's Day.
One Customer, Many Addresses
A property manager is one client with many addresses. MaidBossPro lets one client hold many addresses, each with its own cleaning details and entry notes. When the manager sends a move-out, you add a job at that address and schedule it like any other.
Billing is where this really helps. Set the account to Monthly and the property manager gets one statement each month covering every location, with each line labeled with the address. No separate invoice for each turnover, and no confusion about which unit was which. The same works for a dental group with a few offices.
Keep Teams on Their Regulars
The risk with commercial and rental work is that it pulls teams away from their recurring homes. A property manager who sends three move-outs in one week can swallow a team's schedule if you let it. Decide on purpose how much of this work each team can carry, and give it to the team with room rather than bumping a long-time residential customer.
Before-and-after photos from the team app are especially useful for rentals. A property manager who asks how the unit was left can see it, and the photos stay with the job.
Let the Right People Know
For offices and rentals, the customer who gets the texts may not be on site. The automatic on-the-way and arrived texts go to the contact on the account, so make sure that is the person who wants them, such as the office manager or the property manager. For how these accounts fit with the rest of the schedule, see the MaidBossPro cleaning scheduling software page.
