Skips and Cancellations: Handling the Homes That Fall Off the Cleaning Schedule

Every week, some cleanings do not happen as planned. The team arrives and the door is locked. A customer texts at 7am to cancel. A homeowner is sick and does not want anyone inside. These are normal parts of running a cleaning company. What matters is that each one is handled the same way, so no home gets lost.

Related to Reschedules, But Different

Moving a home to another day is covered in Holidays and Reschedules: Moving a Week of Cleanings Without Losing Anyone. Skips and cancellations are different because the visit does not happen at all, at least not on the planned day.

Skips From the Team

A skip usually starts with the team. They arrive and something is wrong:

In the MaidBossPro team app, the team taps Skip and adds a note saying why. “Lockbox code 4471 didn't work, front and back doors locked, no answer” tells the office everything it needs. A photo of the lockbox or the locked door can help too.

The office sees the skip right away, with the note. It can text the customer through two-way texting, find out what happened and put the home on another day.

Before Skipping, Try Once

A good team habit is to try one thing before tapping Skip: check the entry notes again, try the other door the notes mention, or text the office so they can reach the customer. Many lockouts are fixed in two minutes by a customer who forgot the side door was locked. Agree on how long a team should wait before moving on, so they are not standing on a porch for half an hour.

Entry notes that are clear and current prevent most of these. That is covered in Entry Codes on the Card: Lockboxes, Keys and Alarms in the Team's Day.

Cancellations From the Customer

Cancellations come from the customer, usually by text or phone. When one comes in:

Your cancellation policy, including any late-cancellation fee, is your decision. If you charge one, adding it as a line item on an invoice keeps it clear.

Keeping Recurring Homes on Track

For recurring homes, the important thing is what happens next. In MaidBossPro, a recurring home keeps a fixed slot, and its future visits are already on the schedule. Skipping one visit touches only that visit. The next one is still there on its usual day, at its usual time, with its usual team.

If the customer simply wants to skip this one visit, leave it skipped with a note and they are back in their slot next time. If they want to make it up, move that single visit to a day this week. If they are cancelling for good, use Stop on the Recurring Cleanings list so no future visits linger on a team's day.

Watch for Patterns

One skip is a normal week. Several skips at the same home is a pattern. A few to look for:

Job notes and the skip reasons make these patterns easy to see later.

A Clear Process Beats a Good Memory

The reason skips and cancellations cause trouble is not that they happen. It is that they get handled differently every time, by whoever happens to answer. One clear process (team taps Skip with a note, office follows up the same day, the visit gets a new day or stays skipped with a reason) keeps them from turning into lost customers. For the rest of the scheduling tools, see the MaidBossPro cleaning scheduling software page.

No Skipped Home Gets Forgotten

MaidBossPro teams tap Skip with a note, the office sees it right away, and the rest of a recurring series stays in its fixed slot.
