Property Managers and Move-Out Cleaning: How a Maid Service Wins and Keeps the Account
A single property manager can send a maid service more move-out cleans in a year than dozens of homeowners. They are also some of the most demanding clients you will have. They need units turned on a deadline, they are rarely on site, and they answer to owners who want to know why the unit sat empty an extra week. Get their routine right and the work keeps coming.
What a Property Manager Is Really Buying
The team app, described in What the Office Cleaning Team Sees on the Phone at Every Stop, is where much of a move-out job comes together. But winning the account starts long before the team arrives.
A property manager is not really buying a clean. They are buying a unit that is ready to show or hand over by a certain date, with no callbacks and no surprises. That means four things matter most:
- Speed. Can you get into the unit soon after the tenant leaves?
- Consistency. Is every unit cleaned to the same standard?
- Proof. Can they see the result without driving over?
- Easy billing. Can their bookkeeper pay you without chasing a pile of invoices?
One Account, Every Unit Underneath
In MaidBossPro, one client can have many addresses. Set up the property manager or management company as the client, then add each unit as its own address. Every unit keeps its own details: bedrooms, bathrooms, square feet, pets, extras and entry notes such as the lockbox location and code.
When the same unit turns over again a year later, the new job fills in from the last one at that address, with a note saying so. You already know it is a 2 bed / 1 bath, 950 sq ft, with a lockbox on the back porch. Nobody has to ask again.
Quote Once, Then Repeat
Most property managers want a price list before they send their first unit. Build your move-in / move-out service in your service list, priced by bedrooms, bathrooms or square feet, and add the common extras: inside oven, inside fridge, inside cabinets, walls & doors, baseboards and blinds. Send an estimate for a typical unit and let the manager approve it online.
For each unit after that, the approved estimate becomes the scheduled job, with the cleaning details carried over. Estimate templates make it quick to send the next one. Pricing details are covered in Pricing Move-Out Cleaning by Bedrooms, Bathrooms and Condition.
Scheduling Around Move-Out Dates
Move-outs are one-time jobs, not recurring cleanings. They go on the dispatch board for a specific team and day. The tricky part is timing. Tenants leave late, keys come back a day after they should, and the new tenant's move-in date does not move. Ask the property manager to send move-out dates as early as they know them, and confirm by text the day before.
The cleaning type on the job, Move-In / Move-Out, tells the team what kind of visit it is. The extras on the card tell them what to clean inside the appliances and cabinets. The entry note tells them how to get in.
Before-and-After Photos Win the Account
Property managers usually do not see the unit until after you leave. Before-and-after photos taken in the team app and saved with the job are how they see what you did. Photos of the oven, the fridge, the bathroom and the main rooms answer most questions before they are asked.
They also help when a tenant disputes a charge for cleaning. The manager can see the condition the unit was left in, and what it looked like when you were finished. When you turn on photos in the customer app, the manager can see before-and-after photos on past visits there.
One Statement a Month
A property manager with six move-outs in a month does not want six invoices. Set the account to Monthly, and MaidBossPro sends one statement each month covering every unit, with each line labeled with the address. The bookkeeper can match each line to the right property and pay once.
Keep the Account by Being Easy to Work With
Property managers stick with cleaning companies that make their job easier. Answer texts quickly, show up when you said you would, send photos without being asked, and keep the bill simple. Two-way texting from the office means the manager can text a new lockbox code or a rush request, and the whole office sees it.
